Position :- Office Cum /  inspection coordinator

Qualification :- Any Bachelors , preferred diploma or Bachelors in mechanical engineering with below experience 

Experience :- 2-5 years

Primary Responsibilities :- To coordinate the inspection and testing activities of the project for its smooth operation and client satisfaction and administrative support for department activities related to customer services.

 

Specific Responsibilities :-

 ·         To handle inspection enquiry in coordination with Operations / BD Manager and Supervisor. Submitting quotation/proposals for Inspection Services.

 

·         To schedule the inspections with timely intimation to the customer and inspectors of SGS.

 

·         To ensure that the reports made by the inspectors are dispatched to the customer in time.

 

·         To maintain the confidentiality requirements in each activity during the service period.

 

·         Ensure the best quality of execution.

 

·         Operate to the highest standards of ethics, in accordance with the SGS Statement of Integrity

 

·         Maintain and coordinating with client/SGS affiliates data exchange, keeping track of all correspondence, Faxes, letters etc. and ensuring proper filing to a specific job number as per office procedure

 

·         Providing necessary information for invoicing after job completion.

 

·         Finalizing reports and dispatching it to our clients

 

·         Various administrative activities including but not limited to:-

 

o Record keeping of various components of client files (Query and job files)

 

  o   Filing and maintaining various client and job records as per office approved procedures.

o   Maintaining various logs related to enquiries and job.

o   Process client orders for billing purpose in SGS billing system (BOSS)

o   Ensure billing is issued to client timely and follow up payment.

o   Maintain client database for invoicing and payment follow up.

 

o   User for Collect tool (payment collection tool of company) for ensuring timely payment collection from clients.

 

o   Expediting deliverables to client.

 

o   Other administrative activities as per the need and specific requirements of department including and not limited to Sales support, Tendering etc

 

o   Compliance SGS Rules for life.

 

o   Hazard Identification and reporting as per OI requirement

 

o   Maintain good housekeeping at work place and office
