- Ensure to organize, record and provide index for all types of documents due for filing and distribution on daily basis.
- Ensure to use index system for easy identification of documents and implement such on daily basis.
- Ensure to distribute the documents to the right personnel or departments on daily basis.
- Ensure to get acknowledgements for very important documents delivered on daily basis.
- Ensure to maintain a database or log for registering accurate information and ensure precise and sequence recording for easy retrieval and reference on a daily basis.
- Ensure all documents are properly registered, scanned, photocopied & renditioned prior to distribution.
- Ensure to safeguard documents, drawings and other pertinent records every day and ensure proper storage to eliminate damage.
- Ensure confidentiality of all operational communication/documents to prevent misuse of pertinent information by any entities.
- Ensure that only authorized persons will have access to any documents that are highly sensitive and confidential.
